Law Firm Office Relocation

Law Firm Office Relocation in Dubai

We handle law firm office relocation in Dubai for legal practices, legal consultancies and in-house legal teams. Client files, original documents and archives move in sealed, numbered crates, with a signed record of who handled them from the moment they leave your old office until they are unlocked at the new one.

A law firm can replace furniture. It cannot replace an original deed, a signed power of attorney or a client file with years of case history. That is why we treat the files as the main part of the move and the furniture as the easy part. As office movers in Dubai, we run legal office moves with a separate document handling process built around confidentiality and a clear chain of custody.

What We Move for Law Firms

A legal office holds more paper, and more sensitive items, than most offices. This is what comes with you — and the order it moves in matters as much as the packing.

    01

Active Client Files & Case Folders

Packed last, on the final working day, so your lawyers keep working until the end of the week. Each crate is sealed as soon as it is full.

    02

Closed Case Archives & Archive Boxes

Packed first, during the week, because nothing in them is needed on Monday morning. Archives can go straight into storage rather than to the new office.

    03

    Original Documents

Title deeds, wills, powers of attorney and notarised papers. These are the items that cannot be reprinted, and they are inventoried individually rather than by the drawer.

    04

    Court Bundles in Preparation

Bundles being built for upcoming hearings are flagged at the survey and kept together, so nothing is split across two crates in two different rooms.

    05

Safes, Deed Boxes & Lockable Cabinets

Safes are moved with the right equipment for their weight, and we check floor loading and lift limits at both buildings during the survey.

    06

    Law Library & Reference Collections

Reported volumes and reference sets are packed by shelf and in shelf order, so the library goes back up the way it came down rather than in a heap.

    07

    Partner Offices

Executive desks and bookshelves, dismantled and rebuilt where needed. Partner offices are usually moved last, with the active files.

    08

    Meeting Rooms, Reception & Workstations

The straightforward part of the move. Furniture is placed to your floor plan at the new office rather than left stacked for your team to arrange.

    09

Computers, Printers & the Office Server

Workstations and printers move with the furniture. If you have a rack or a comms room, that is a separate process with its own labelling and port map — see our server and IT equipment relocation.

Filing cabinets and archive boxes being packed into lockable crates

Filing cabinets are emptied before transport, and the contents go into lockable crates in the same order they came out. A cabinet moved full can bend its rails or spring open in the truck — which is exactly what you do not want with client papers inside.

How We Keep Client Files Confidential

Confidentiality is not a promise made in a brochure. It is a set of steps followed on every legal office move, and these are the five of them.

Close-up of a numbered tamper-evident seal on a lockable file crate

Every crate on a law firm move leaves your office closed with a numbered, tamper-evident seal and arrives with that same number intact. Between those two moments there is a signed paper trail, and at no point does anybody need to know what is inside.

Your nominated person checks the seals against the inventory before a single crate is opened. If a number does not match, you know before anything has been unpacked — not weeks later when a file cannot be found.

    1. Sealed Crates with Numbered Seals

Files are packed into lockable plastic crates. Each crate is closed with a tamper-evident seal carrying its own number. If a seal is broken, you will see it — that is the entire purpose of a tamper-evident seal, and it is why we use numbered ones rather than plain ties.

    2. A File-Level Inventory

Before packing, your team tells us which file ranges, drawers or shelves go into which crate. The crate number, the seal number and the contents are written onto an inventory sheet, and you keep a copy of it.

    3. Signed Handover at Every Step

Crates are counted and signed for at your old office, loaded onto a locked truck, and counted and signed for again on arrival. Your nominated person checks the seals before any crate is opened.

    4. The Same Crew from Start to Finish

The people who pack your files are the people who unload them. Crates are never left unattended in a lobby, a loading bay or a corridor — which is where documents actually go missing, not in transit.

    5. No Reading, No Opening

Our crew packs by drawer or by shelf, as instructed. They do not open folders, sort documents or look at the contents. There is no stage of this process at which anyone needs to know what a file says.

    Your Firm’s Data Protection Obligations

Law firms in Dubai handle a large amount of personal data. If your firm is onshore, the UAE’s federal Personal Data Protection Law applies. If you are in DIFC, the DIFC Data Protection Law applies instead. Either way those obligations stay with your firm during a move — they do not transfer to your mover.

    The Problem

Your obligations do not pause for a move

What we give you is a documented process: an inventory, seal numbers, and signed handovers showing where every crate was and who had it at each stage. Many firms keep that record on file as part of their own data protection records. We are not your data protection adviser — we are the part of the chain that can be evidenced.

    The Problem

You are about to pay to move paper you do not need

If you are clearing out old files before the move, arrange certified shredding for anything you no longer need to keep. It is far easier and cheaper to reduce the archive before the move than to transport it and destroy it later. This costs us volume and we are telling you anyway.

    Legal Office Relocation in DIFC

A large number of Dubai’s law firms are based in DIFC, and moving in or out of the centre comes with its own rules. We arrange the building paperwork with your facilities team and with building management at both addresses before moving day, so the crew is not stopped at the loading bay.

    • A Booked Loading Bay Slot

The loading bay and the service lift are booked in advance, not queued for on the day.

    • After Hours or Weekends

Most DIFC buildings will not permit a move during business hours. This suits a law firm move anyway.

    • Access Passes for Every Crew Member

Every member of the crew is listed and passed in advance, so nobody is turned back at the barrier.

    • Certificate of Insurance

Submitted to building management ahead of moving day, from us, in the form they ask for.

Remember to update your firm’s registered address after the move. That is the DIFC Registrar of Companies for DIFC firms, or Dubai Economy and Tourism — and, where it applies, the Legal Affairs Department — for onshore firms. It is the step most often left until someone notices the old address on a letterhead.

Our Process for Moving a Law Firm

Eight stages. Three of them exist purely so that you can prove, afterwards, where every crate was and who had it.

    01

    Site Survey

We walk the office, count filing cabinets, archive boxes and safes, and check access at both buildings.

    02

    File Plan

Your office manager or records person agrees with us how files are grouped and which crates they go into.

    03

    Crate Delivery

Lockable crates arrive a few days early so your team can start on archives and closed files first.

    04

    Packing & Sealing

Active files are packed last, on the final working day, so your lawyers work to the end of the week.

    05

    Signed Loading

Crates are counted, seal numbers checked against the inventory, and the sheet signed before the truck leaves.

    06

    Transport

Files travel in a locked truck directly to the new office. No stops, no overnight parking, no second drop.

    07

    Signed Unloading

Crates are counted and seals checked against the inventory with your nominated person present.

    08

    Setup

Furniture is placed to your floor plan, cabinets positioned, and crates delivered to the right rooms for your team to unpack.

Timing the Move Around Your Court Calendar

Every other office move is scheduled around a lease date. A law firm move is scheduled around a hearing list, and that is a different problem.

    01

We Ask for Your Key Dates First

A move should never land in the same week as a major hearing or a filing deadline. During planning we ask your team for the key dates in the weeks either side of the move, and we schedule around them rather than around our own calendar.

    02

    Friday Evening to Monday Morning

Most law firm moves start on Friday evening and finish over the weekend, so your lawyers arrive on Monday to a working office rather than to a corridor full of crates.

    03

    Larger Firms Move in Stages

Archives first, then support teams, then partners. Each stage is its own sealed, inventoried, signed-for movement rather than one long weekend of everything at once.

    04

    Active Files Go Last, Always

The files most likely to be needed urgently are out of reach for the shortest possible time. That single ordering decision does more for a practice mid-move than anything else on this page.

    What Affects the Cost

We give a fixed quote after the site survey, and it does not move afterwards. Six things set the number.

    01

    Files, Boxes & Cabinets

The number of files, archive boxes and filing cabinets — counted at the survey, not estimated over the phone.

    02

    Safes & Heavy Items

Whether safes or other very heavy items need special handling, and what the floor and lift limits allow at both ends.

    03

    Distance Between Offices

The run between the two addresses, which sets truck time and the number of trips.

    04

    Building Rules

After-hours requirements, booked loading bays and crew passes. In DIFC these are not optional and they shape the schedule.

    05

    One Weekend or Staged

A single-weekend move and a staged move are priced differently, and larger firms usually want the staged one.

    06

    Crates, Materials & Storage

Crate rental, packing materials, and any temporary storage for archives that will not fit the new address.

    Areas We Cover

We move law firms across Dubai, as well as between Dubai and the other emirates.

Moving to or from another emirate? We handle that too — a cross-emirate legal move uses the same sealed crates, the same inventory and the same signed handovers, with the drive in between.

    Frequently Asked Questions

Will your crew see our client documents?

No. Files are packed by drawer, shelf or file range as your team instructs. Our crew does not open folders or sort papers, and crates are sealed as soon as they are full.

Can you sign a confidentiality agreement?

Yes. We can sign your firm’s NDA before the survey or before moving day.

How do we know nothing went missing?

Every crate has a number and a numbered seal recorded on the inventory. At the new office, your nominated person checks each crate and its seal against the list before anything is opened. A broken or missing seal would show immediately.

Can we keep working until the day of the move?

Yes. Archives and closed files are packed first, during the week. Active files are packed on the last working day, usually Friday afternoon or evening.

Can you store our old archives instead of moving them?

Yes. Many firms do not have room for their full archive at a new address. Closed files can go into storage in the same sealed crates, with the inventory kept for retrieval later.

    Do you move safes?

Yes. Safes are moved with the right equipment for their weight, and we check the floor and lift limits at both buildings during the survey.
