Media & Creative Agency Relocation

Media Agency Office Relocation in Dubai

We handle media agency office relocation in Dubai for advertising agencies, creative studios, production companies, photography studios and digital content teams. Cameras, lighting, audio gear, edit suites and client project files are moved as their own part of the job, separate from the desks and chairs.

An agency’s real assets are its equipment and its work. A dropped lens, a knocked RAID drive or a reference monitor that arrives out of calibration can cost more than the rest of the move, and a missed client deadline can cost an account. As office movers in Dubai, we plan creative moves around your live projects and shoot dates, and we check every equipment case against your own kit list.

What We Move for Media and Creative Agencies

A creative office mixes normal office furniture with high-value production equipment, and the two are handled as separate jobs on the same day.

    01

    Cameras, Lenses & Camera Support

Bodies, glass, tripods, gimbals and sliders. Anything that already has a flight case travels in it, and nothing heavy is ever stacked on a camera case.

    02

    Lighting Kits & Grip

LED panels, stands, C-stands and grip equipment. Stands travel strapped rather than loose, because a C-stand rolling in a truck is how other things get damaged.

    03

    Audio Gear

Mixing desks, studio monitors, microphones and headphones. Mics and monitors go into padded crates where no hard case exists.

    04

Modular Vocal Booths & Acoustic Panels

Dismantled in the manufacturer’s order with every panel numbered, so the booth goes back together exactly as it came apart. Section 6 covers what does NOT come with you.

    05

    Edit & Colour Suites

Workstations, reference monitors and control surfaces. Monitors travel in their original boxes or padded cases and are kept upright — plan to recalibrate them at the other end.

    06

RAID Arrays, NAS Units & Drives

Everything holding footage and project files. These are packed separately, loaded last so they come off first, and signed for on their own sheet. Section 5 is entirely about this.

    07

    Large-Format Printers & Cutters

Plotters and cutting machines. Floor-standing units are measured against door and lift clearance at the survey, the same as any heavy item.

    08

    Backdrops, Props & Wardrobe

Studio backdrops, paper rolls, props and wardrobe rails. Paper rolls are the thing most often crushed in a general move, so they travel on their own.

    09

    Artwork, Awards & Brand Displays

Framed work, awards, mood boards and brand displays. Framed pieces are corner-protected and travel upright, not flat under something else.

    10

    Workstations, Meeting Rooms & Joinery

Desks, breakout furniture and custom joinery. The straightforward part of the job — and the part that moves first if you split the move in two.

Equipment that already has flight cases or hard cases travels in them. Items without cases go into padded crates, or are wrapped and strapped in the truck. Nothing heavy is stacked on camera or lighting cases — which sounds obvious, and is the single most common way kit gets damaged on a general office move.

    Protecting Footage and Project Files

For a production company or agency, the files on the drives are worth more than the drives. Raw footage, edit projects and client assets are often the only copy of months of work — so they move under their own chain of custody, separate from everything else.

    1. BACKED UP

      Backups Happen Before the Move

Your team or IT provider should make a full backup of project data before shutdown, and keep one copy off site or in the cloud. We never access or copy your data at any point — our job starts at the physical drive.

    2. PACKED

      Drives Move Separately

RAID units, NAS boxes and loose drives are packed in padded cases, kept upright where the maker advises it, and loaded LAST so they come off the truck FIRST rather than sitting under a desk for an hour.

    3. SIGNED

      One Person Signs for Them

Drive cases are listed on their own sheet, separate from the general inventory. Your nominated person signs them out at the old office and signs them in at the new one.

If your agency runs a server room for storage and rendering, the racks and network equipment are a separate process with their own labelling and port map — see our server room relocation.

    Studio, Lighting and Audio Equipment

Production equipment is moved case by case against your kit list — not counted in boxes.

A camera case being checked against a kit list during a Dubai studio relocation

The kit list is the whole system. During the survey we match each case number or serial number to your own list. That same list is checked when the cases are loaded, and checked again when they arrive — so a missing case is found in the loading bay rather than three days later when somebody opens the shelf it should be on.

It is also the reason a busy move stays accountable. On a day with forty cases going out of one door, the only question that matters is whether case 23 is on the truck, and a list answers it in seconds.

    01

    Checked Against Your Kit List

Production equipment moves case by case against your own kit list. At the survey we match each case number or serial number to your list, and the same list is checked when the cases are loaded and again when they arrive — so nothing goes missing in a busy move.

    02

Monitors Travel Upright — and Need Recalibrating

Colour-grading and reference monitors move in their original boxes or padded cases and are kept upright. Plan time for your colourist or IT team to recalibrate them at the new office, because even a careful move can shift calibration.

    03

Built Features Stay with the Old Building

Cyclorama walls, fixed lighting grids and acoustic treatment fixed to the walls do not come with you — your fit-out contractor rebuilds those at the new studio. Modular booths and free-standing panels do come, numbered panel by panel.

Planning Around Client Deadlines and Shoots

A creative team rarely has a quiet week. Before we fix the move date, we ask for your delivery deadlines, campaign launches and shoot days in the weeks around the move.

    The Problem

A missed deadline can cost the account

Most agency moves start on Friday evening and finish over the weekend, so the team is working again on Monday. The date is set against your delivery deadlines and campaign launches before anything is booked, not after.

    The Problem

There is a shoot in the move week

For production companies we move in two stages: office furniture and admin first, then cameras, lighting and edit suites on a separate day that suits the shoot schedule. Kit booked for a shoot that week is kept packed, kept apart, and left out of the move entirely.

Licences and Building Rules Your Agency Handles

A new address means paperwork on your side. We do not handle these approvals, but we plan the move around them.

    • Trade Licence Address

Update your registered address with Dubai Economy and Tourism, or with your free zone authority if you are in a free zone.

    • Media Licence

If your business holds a media licence from the UAE Media Council or your free zone authority, check whether the new address needs updating on it.

    • Building Move Permits

Most business districts and free zone buildings need a move permit, a loading bay booking and a certificate of insurance from the moving company before move day. We arrange the building paperwork with your office manager at both addresses.

Our Process for Moving a Creative Agency

Eight stages. Two of them — the backup and the signed loading — exist so that nothing on this page has to be taken on trust.

    01

    Studio Survey

We walk both sites, list production equipment against your kit list and check lifts and loading access.

    02

    Move Plan

Dates are set around your delivery deadlines, campaign launches and shoot days — not around our schedule.

    03

    Backup & Shutdown

Your team backs up project data and powers down workstations, drives and servers. We do not touch this stage.

    04

    Equipment Packing

Cameras, lighting and audio gear go into their cases. Booths are dismantled and every panel numbered.

    05

    Signed Loading

Equipment cases and drive cases are checked against the lists and signed out before the truck moves.

    06

    Transport

Equipment travels in a closed truck straight to the new office, with the drive cases loaded last.

    07

    Setup

Desks, edit suites and studio areas are set up to your floor plan, and modular booths are rebuilt.

    08

    Checks

Your team checks each case against the kit list, reconnects systems and recalibrates the monitors.

    What Affects the Cost

We give a fixed written quote after the survey, and it does not move afterwards. Six things set the number.

    01

    Equipment Volume — and Cases

How much production equipment there is, and how much of it already has flight cases. Kit that arrives cased is a different job from kit loose on a shelf.

    02

    Edit Suites, Drives & Servers

Edit and colour suites, drive storage, and any rack or server equipment. A comms room is its own process — see our server room relocation.

    03

    Dismantling & Rebuilding

Vocal booths and any other item that has to come apart and go back together. Numbering and rebuilding is time, and time is what is being priced.

    04

    Props, Sets & Wardrobe

Props, set pieces and wardrobe need volume in the truck rather than weight, and volume is what fills a truck first.

    05

    Access at Both Buildings

Loading bays and lift sizes. Access is usually the single biggest swing on any commercial move, and studios are often in the worst-served buildings.

    06

    One Weekend or Staged

A single weekend and a two-stage move price differently. Production companies usually want the staged one, because the kit follows the shoot schedule.

    Frequently Asked Questions

Do you move camera and lighting equipment?

Yes. Cameras, lenses and lighting move in their own flight cases or in padded crates, and every case is checked against your kit list at both ends. Nothing heavy is stacked on top of equipment cases.

Do you back up our footage?

No. Your team or IT provider backs up all project data before the move. We never access your files. We move the drives and storage units carefully and separately from the rest of the office.

Will our monitors need recalibrating after the move?

Usually, yes. Even a careful move can shift the calibration of colour-grading and reference monitors. Plan time for your colourist or IT team to recalibrate them before the first grading session.

Can you move our vocal booth?

Yes, if it is a modular booth. We take it down in the manufacturer’s order, number each panel and rebuild it at the new studio. Booths built into the walls need your fit-out contractor.

Can you move us without stopping a shoot?

Yes. We can move the office on one weekend and the production equipment on a separate day. Kit booked for a shoot during the move week is kept aside and left out of the move.

Can you store props and set pieces?

Yes. Props, set pieces and equipment you do not need at the new office can go into storage and be delivered later.
